Guide

What Is Contractor Accommodation?

Contractor accommodation is purpose-arranged housing for workers deployed on projects away from their permanent home. It encompasses serviced houses, apartments, and shared properties taken on flexible terms that align with a project programme rather than a standard residential tenancy.

The fundamental difference from hotels is practicality. A serviced house for a construction team includes a full kitchen, living space, laundry facilities, and parking. Workers can prepare their own meals, store tools and PPE safely, and recover properly between shifts. Hotels simply were not designed for people working 10 to 12 hour days on a building site.

For the employer, contractor accommodation simplifies administration considerably. All properties sit under one agreement with one supplier. A single monthly invoice covers the full team regardless of how many properties are involved. When the team grows or the programme extends, one call to us handles it.

CrewStays has been placing construction and engineering crews in accommodation across the UK since our founding. Our team spent years working on major infrastructure projects before building this business. We understand how projects actually run — programme changes, phased mobilisation, and the realities of working away from home are all factored into our service model.

Compliance

Tax, Regulations & Compliance

Understanding the tax treatment and regulatory framework around contractor accommodation helps companies make informed decisions and maximise savings.

HMRC Tax Treatment

For employees temporarily working away from their permanent residence, accommodation booked and paid by the employer is generally a tax-exempt benefit. It is not treated as a taxable benefit in kind under HMRC rules for temporary workplaces, provided certain conditions are met.

Qualifying conditions:

  • The employee's work at that location is expected to last less than 24 months
  • The accommodation is provided for work purposes, not personal preference
  • The employee maintains a permanent home address elsewhere
  • The employer books and pays for the accommodation directly

This is general guidance only. We recommend consulting your tax adviser for your specific situation. Reference: HMRC EIM31800.

Invoicing & Billing

CrewStays provides clear, itemised invoices for all contractor accommodation bookings. One invoice per month, in your company name, covering all properties and workers.

Our invoicing includes:

  • Clear itemised breakdown for your accounts team
  • Single consolidated monthly invoice per company
  • Itemised by property, worker, and date range
  • Company name on all agreements and invoices
  • Purchase order reference support
  • 30-day payment terms available for approved accounts

Trade accounts available for companies with regular accommodation requirements. Contact us to set up monthly billing.

Council Tax Exemptions

Properties used for contractor accommodation on stays of less than 6 months are typically exempt from council tax under Class N exemption rules. This means council tax is included in our all-in rate at no additional cost to you.

For stays exceeding 6 months, council tax arrangements vary by local authority. We manage this on your behalf and will advise if any additional charges apply before they are incurred.

Assurance

Property Standards & Safety

All properties in our network meet or exceed the following standards:

  • Gas safety certificate (CP12) renewed annually
  • Electrical Installation Condition Report (EICR) valid
  • Portable Appliance Testing (PAT) on all supplied appliances
  • Working smoke and carbon monoxide detectors on every floor
